Volunteer Job Duties
đź”± Volunteer Requirements
The East Cobb Titans are a parent-led, volunteer-run organization. Only our officials and coaches are paid staff—every other part of the meet experience is powered by you! To ensure a successful season for our swimmers, every family is required to provide a volunteer (parent, grandparent, adult sibling, or family friend) to support the team during meets.
The Golden Rules of Volunteering:
- First-Come, First-Served: Signups open early. Grab your preferred spot before it’s gone!
- The "Find a Sub" Policy: If you cannot make your shift, it is your responsibility to find a replacement (a neighbor, another parent, or a teenager earning service hours).
- Communication: Always notify the Volunteer Coordinators once you have confirmed your replacement.
⏱️ Meet Day Roles
Most roles are split into 1st Half (Events 1–46) and 2nd Half (Events 47–86).
Deck Officials & Support
- Announcer: Uses the PA system to announce event numbers, descriptions, and heats. (Home Meets)
- Starter: Uses the bullhorn to start each heat upon the official’s command. (Home Meets)
- Event & Heat Board: Updates the physical board so parents and swimmers know which event is currently in the water. (Requires full attention)
Timing & Scoring
- Timer: Uses a team-provided stopwatch to time one lane. You’ll start the watch on the horn and stop it when the swimmer touches the wall, recording the time on a provided sheet.
- Place Judge: Two judges (one per team) sit at the finish line to determine the order of finish (1st–5th).
- Runner: Collects time sheets, place cards, and DQ slips from officials and delivers them promptly to the data table.
- Data Entry: Enters times and finishes into the CCSL software. (Requires brief training)
- Scorekeeper:Â Assist data entry volunteer.Â
Athlete Management
- Ribbons: Happens at 8:15 AM the morning after a meet. You'll apply result stickers to ribbons and file them in the swimmer's folders.Â
Logistics & Environment
- Set-Up (4:00 PM): Prepare the deck by stacking chairs, setting up flags, lane numbers, and reserved parking signs.
- Clean-Up: Occurs at the end of the meet. Help return the pool deck to its original order, close umbrellas, and clear any remaining trash.
- Parking Lot Attendant: Directs visiting guests to overflow parking by the tennis courts.
🍔 The East Cobb Café & Donations
Our concession stand is a vital part of our team's community and fundraising.
Café Staffing
- Cashier: Handles cash and Venmo transactions with a smile! Assist with setup (Shift 1) or breakdown (Shift 2).
- Grill Master: Sets up the grilling station and prepares menu items following safe food-handling procedures.
- Café Volunteer: Unloads coolers, organizes snacks/drinks, and provides great customer service.
Donations (Must be delivered by 4:00 PM)

Baked Goods: HOMEMADE! Please individually package them for sale:
- Cupcakes: 24ct (individually wrapped).
- Brownies: 12ct (large, individually wrapped).
- Cookies: 12ct (packaged 2 per bag).
- Drinks: 24-pack of 12oz cans (Coke, Coke Zero, or Sprite). Please deliver cold and ready to sell!
- Friday Morning Donuts: Deliver 2 dozen donuts to the pool by 9:50 AM the morning after a meet. Help set up the table and oversee the "orderly" selection of treats by the swimmers!
